What we collect
We collect information that you voluntarily provide through our website forms and tools, plus a small amount of usage data.
- Contact form (at /contact) — name, email, company, area of interest, and your message.
- Org-gap diagnostic (at /diagnostic) — your ten answers across talent, capability, capacity, process, and strategy dimensions, plus your top gap, recommended service, optional lead-capture email, and your computed score.
- AI intake conversation (at /intake) — the transcript of messages between you and our intake assistant, plus the captured summary, recommended service tier, and any contact details you share during the chat.
- Stripe checkout — when you subscribe or buy a Clarity Lab session, Stripe collects your billing email, name, and payment method. The Stripe checkout experience is hosted by Stripe; card numbers are never transmitted to or stored on Coherence servers.
- Session and page-view data — a first-party session cookie keeps you signed in across portal pages. Page-view rows record the path, referrer, user-agent, and a one-way hash of your IP.
- Provider applications (at /work-with-us) — name, email, function area, years of experience, weekly availability, and optional LinkedIn URL and message.
How we use it
We use the information you provide to:
- Deliver the service you requested — replying to a contact submission, scoring your diagnostic, completing your intake summary, or activating your subscription.
- Send confirmations and operational emails through the Polsia email proxy (e.g., "we received your message" after a contact submission or diagnostic).
- Verify Stripe checkouts and route subscription state into our records so subscribers land in the right onboarding flow.
- Improve our diagnostic scoring, intake conversation, and overall site experience over time.
Third parties
To run the site we share specific slices of your data with a small number of trusted processors. None of them sell your data.
- Stripe — payment processing and checkout. Stripe collects billing details and card data on their hosted checkout pages and returns only a subscription or charge identifier to us.
- Polsia email proxy — outbound transactional email (contact-form confirmations, diagnostic follow-ups, team notifications). Mail is sent from Coherence on your behalf through
POLSIA_API_URL; we never give the proxy marketing consent.
- OpenAI — the intake conversation at /intake is powered by
gpt-4o-mini. Only the running transcript of a single intake session is sent; we do not send your diagnostic answers, contact-form messages, or Stripe data to OpenAI.
- Pipedrive — a chat widget is loaded on every page so visitors can ask the sales team questions; if you start a Pipedrive chat, your messages are processed by Pipedrive under their own privacy terms.
- Polsia Analytics — a first-party pixel records anonymous page views and a randomly generated visitor identifier stored in your browser's localStorage. No cross-site tracking.
Cookies & analytics
We use one first-party session cookie to keep you signed in across the customer and provider portals. We do not run third-party advertising pixels, retargeting tags, or cross-site analytics. Page-view rows are aggregated on our side with a one-way hash of your IP address so we can spot traffic spikes without storing the raw address.
Your rights
You can request access to, correction of, or deletion of the personal data we hold about you at any time. Email hello@coherence.work and we will respond within five business days. We will honour deletion requests for contact submissions, diagnostic responses, intake transcripts, and lead-magnet completions; Stripe-controlled billing data follows Stripe's own retention rules.
Changes to this policy
We will update the "Last updated" date at the top of this page whenever the policy changes. Material changes will be announced by email to active subscribers and through a notice on the homepage for at least 30 days.
